Position Overview

The Manager of Development Operations oversees all operational aspects of the development department, including but not limited to gift processing, data and database management, fundraising technologies and related integrations, donor research, and the departmental budget, to support all fundraising and development efforts. This position reports to the Chief Development Officer.



Responsibilities

Fundraising Operations

  • Ensure the timely and accurate processing of gifts and donor acknowledgements, including compliance with donor intent and organizational policies.

  • Develop and implement standard operating procedures for the development department to streamline processes and increase productivity.

  • Manage the departmental budget, including overseeing the annual development plan and budget development process.

  • Work closely with Finance staff to reconcile donor contributions, ensuring that all gifts (both restricted and unrestricted) are accurately recorded in the CRM and accounting systems. Conduct regular cross-departmental reviews to address discrepancies between fundraising records and financial reports.

  • Collaborate with the Marketing team to share insights from donor data, including demographics, giving history, and engagement metrics.

  • Develop shared reporting templates that meet both fundraising and accounting needs, such as donor pipeline reports for development and cash flow reports for finance.

  • Manage relationships with key vendors, including CRM provider, prospecting platforms, and wealth screening services.

  • Ensure staff members have the knowledge and skills to utilize available resources effectively.

Database and Technology Management

  • Implement and optimize EforAll’s fundraising technologies and tools to support fundraising efforts.

  • Work closely with the Technology team to optimize the functionality of development technology platforms, improve data utilization for fundraising efforts, and ensure alignment with fundraising goals.

  • Serve as the primary administrator for the nonprofit’s CRM system, Virtuous, configuring settings, managing user accounts, and customizing fields/workflows to meet organizational needs.

  • Act as a resource for staff by providing ongoing training on CRM functionality and troubleshooting issues as they arise.

  • Leverage CRM data for strategic decision-making, such as identifying high-potential donors through wealth screening integrations or predicting donor retention rates.

  • Oversee system integrations with other tools (e.g., online donation platforms, email marketing software) to ensure seamless data flow.

  • Implement data hygiene protocols, including regular audits to identify duplicates, outdated records, or incomplete information.

  • Build automated workflows within the CRM to streamline processes such as gift acknowledgment, recurring donation reminders, or significant gift cultivation.

Donor Pipeline Research and Management

  • Work with the fundraising team to identify, qualify, cultivate, solicit, and steward prospective donors.

  • Utilize various resources and tools to gather information about potential donors, including wealth screening, philanthropic databases, and online sources.

  • Ensure donor interactions, giving history, and engagement levels are tracked to inform cultivation and solicitation strategies.

  • Analyze donor data to identify and prioritize prospects for specific fundraising initiatives.

  • Provide insights to the fundraising team and leadership on donor pipeline health and performance.



Requirements

  • Minimum 4-6 years of experience in development and fundraising operations, including gift processing and acknowledgment, and a proven track record of fundraising operations management

  • Highly experienced in donor database management, utilizing prospect research tools, and other fundraising and project management technologies such as Virtuous, RelSci, Foundation Center Online, DonorPerfect, Rocket Reach, Grantable, and Asana - Strong understanding of nonprofit fundraising principles and best practices

  • Strong analytical skills and experience with data-driven decision-making

  • Proficiency in Google Suite and financial reporting tools

  • Excellent interpersonal and written and oral communication skills, with a strong emphasis on cultural competency and the ability to effectively communicate across diverse cultural backgrounds

  • Flexible, adaptable, and well-organized, with a demonstrated capacity to navigate cross-cultural environments and foster inclusive spaces
