We’re seeking a self-motivated, proactive, and collaborative Grants Services Associate to support our grants administration and database needs.

About the Role

We’re on the lookout for a dynamic Grants Services Associate to join our global team and make a real impact.

Reporting to the Grants Services & Operations Director, you’ll play a key role in grants administration, database management, and technical support. You’ll work closely with the Senior Grants Services Associate, program staff, and our grantees around the globe. Enjoy the flexibility of a hybrid role with 2-3 days in our San Francisco office and the rest remotely.


Responsibilities

What you’ll get to do

Grant Administration (50%)

  • Champion grantee needs by adopting a grantee-centered approach and ensuring their success

  • Dive into grant submissions, verifying completeness and accuracy, and identify the best fund partners or channels for each grant

  • Be the go-to expert for technical, operational, and compliance support, working closely with the primary program officer

  • Oversee all post-award activities, from managing amendments and tracking reports to initiating payments

  • Ensure proposals, reports, and budgets meet our fund partners' compliance standards

  • Process grants efficiently and manage agreements and payments in collaboration with our fund partners

  • Keep our grant database up-to-date with precise, timely data entry

  • Enhance and streamline grants administration resources to boost team communication and efficiency

  • Co-facilitate New Grantee Orientations, setting the stage for successful partnerships

Data & Database Management (30%)

  • Spot and bridge data gaps with precision, ensuring top-notch quality control

  • Offer hands-on technical support to staff and grantees, keeping our grant database and grantmaking process running smoothly

  • Dive into grant data to generate insightful reports for program and grants teams, as well as leadership

  • Play a key role in visioning and driving enhancements in our grantmaking process and grants database

  • Support routine and special upkeep of our grant database system

Research & Communications (10%)

  • Stay ahead of the curve by tracking the latest trends and conducting research on grants administration, donor advised fund, fiscal sponsorship, and compliance best practices

  • Manage shared inboxes with efficiency, ensuring timely responses and support

Administrative & Logistical Support (10%)

  • Streamline processes to keep things efficient and agile, avoiding unnecessary bureaucracy

  • Play a key role in training and supporting staff on grants administration and database best practices

  • Offer essential administrative support to keep everything running smoothly

  • Dive into special projects that drive innovation and impact


Requirements

What we’re looking for

  • 2+ Years Relevant Experience: ideally you’ve had 2+ years in grants administration or similar; if you’ve dabbled internationally, even better!

  • Client Service Oriented: Your knack for problem-solving and client service makes you a go-to resource for all things grants

  • Database Experienced: You’re data-driven with a love for databases

  • Tech Savvy: Ideally you’re proficient in G-suite and a communications pro, with a knack for quickly mastering new tech systems

  • Organizational Whiz: You excel at juggling multiple tasks for multiple people while bringing top-notch attention to detail to every project

  • Global Team Player: You work seamlessly across time zones, flexibly adjusting your hours to connect effortlessly with overseas colleagues

  • Flexible & Fun: You bring flexibility, a sense of humor, and maturity to every challenge and opportunity

  • Growth-Mindset: You have a proactive mindset to taking on challenges and solving problems and welcome feedback to inform iteration

  • San Francisco Office Ready: Ability to work from our San Francisco office a few days a week along with the rest of the San Francisco team

  • Bonus Points: Contract negotiation and international grants administration SmartSimple Database proficiency

Salary Range and Employee Benefits

$70,000-$80,000 annually, commensurate with experience 401(k) match 100% Medical/Dental/Vision coverage for employees; 75% for dependent children

  • Up to $5,000 annually for professional development

  • Charitable giving allowance with a 2:1 match, up to $10,000

  • Generous PTO, including paid volunteer leave and sabbaticals after 6 years 12 weeks of paid parental leave, plus a 2-week reentry support period

  • Monthly phone/internet reimbursement up to $100

Although we are one of the largest funders in the international education space, Echidna Giving is still a start-up in learning mode.
