Description
The Development Associate reports to the Development Director. The position provides essential support to the fundraising team, assisting with donor relations, database management, event planning, and the execution of fundraising campaigns. The development activities include outreach to corporations, foundations, individuals, major donors, and religious organizations through activities that include written solicitations, workplace campaigns, and special events. The team also works to increase Calvary’s visibility through communications and public relations.
Responsibilities
Data Management
Administers the donor database (CRM), maintaining accurate records of donor communications, contributions, engagement, and financial information
Exercise best practices to maintain clean data and identify opportunities to improve processes and procedures.
Perform regular quality checks of databases to ensure accuracy, consistency, and completeness of data and execute appropriate updates and corrections.
Provide monthly financial reports for the accounting department, work with finance to reconcile contributions, and coordinate annual closing and audit preparation.
Generate weekly donor reports to include recent donations, giving history, and any relevant changes to donor status.
Donor Engagement
Coordinate donor stewardship process, including creating personalized, timely, and engaging acknowledgments for financial, in-kind, and volunteer contributions.
Coordinate thank you calls and other special acknowledgments to donors.
Proactively research prospective donors and make recommendations for follow-up.
Support outreach efforts for participation in workplace campaigns, including attending donor information fairs.
Serve as a resource for donors and prospects by managing the general email box, answering the telephone, and receiving mail to the organization.
Communications
Collaborate with the Communications Manager to coordinate the printing of materials.
Support communications outreach, which may include sending press releases or email blasts.
Manage records of photo releases.
Contribute to Calvary’s blog and social media.
Annual Appeals And Other Mailings
Work with printer and mail house to send quarterly appeals.
Manage and coordinate in-house appeals to major donors quarterly and workplace campaign donors annually.
Coordinate volunteers mailing quarterly print newsletters.
Collaborate with the Development Manager to send materials or other special mailings to major donors (flyers, campaign updates, photos, etc.).
Create and send annual appeals to United Way/CFC donors, sustainers, and other special donor groups.
Special Events/Meetings
Support the planning and execution of fundraising events, including galas, donor appreciation events, auctions, and community outreach activities.
Support event logistics, including RSVPs, guest lists, name tags, and coordination of sponsor benefits
Document and manage donations related to the silent and live auction at the annual Hope Awards Dinner.
Staff events and coordinate volunteers, vendors, and other event participants as needed.
Assist with coordination of meetings of the Board of Directors and committees, including communications and materials.
Collaborate with the CDO and Development Director to maintain the Board of Directors’ document management site.
Administrative Support
Provide general administrative support to the development team, including scheduling meetings, organizing files, and handling correspondence.
Other Duties and Responsibilities
Speak in the community on behalf of Calvary Women’s Services.
Participate in all staff meetings and on-site staff training.
Other duties as assigned.
Requirements
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Possess strong interpersonal skills and be able to communicate effectively with people of diverse cultures and backgrounds.

Exceptional organizational, time, project, and program management skills.
Ability to analyze situations, anticipate and/or detect problems and provide solutions.
Aptitude to manage time and tasks efficiently with little supervision.
Ability to communicate effectively; persuasive speaking and writing skills are critical.
Proficient in Word, Excel, PowerPoint, and other Microsoft Office tools.
Advanced skills in data entry and database management.
Ability to work effectively with multiple stakeholders (e.g. funders, boards, clients, employers, colleagues, and volunteers).
Attention to detail; ability to keep accurate records.
EDUCATION AND EXPERIENCE
Bachelor's degree and one year of fundraising experience (internships or professional experience).
WORK ENVIRONMENT REQUIREMENTS
Procures transportation for required trips out of the office.
Move, lift, carry, push, pull, and place objects weighing less than or equal to 30 pounds without assistance.
Reach overhead and below the knees, including bending, twisting, pulling, and stooping.
Climbing: Ascending or descending multiple flights of stairs, using feet and legs and/or hands and arms.
Stand, sit, or walk for an extended period.
